Start with the software you already use. Compare five handoffs through to a reviewed project record. In the explicitly hypothetical example, two minutes per task free up 120 minutes across 60 monthly tasks; longer reviews or low usage reverse the calculation.
AI tools for trades need to reach the project file
AI tools for trades help at handoffs between site and office. Look at five stages: the inbox, voice notes, quote drafts, scheduling and completion reports. A summary left in another chat still needs someone to file it.
Start with the software your business already uses. An integrated feature can use existing customer, project or catalogue data inside the same system. A separate assistant needs a defined route for input, review and transfer back. Copying counts as office work, too.
The feature descriptions below come from vendor pages we opened, rather than hands-on product testing. The comparison provides a completed worksheet and an explicitly hypothetical calculation so you can weigh input, checking, transfer work and additional fees together.
1. The inbox needs a next action
The inbox needs to produce an assigned task. For a long email conversation, a summary can help identify the latest customer question and missing details. Microsoft describes Copilot in Outlook summaries of individual threads, potentially with links to the underlying messages. This does not establish automatic processing of the entire inbox.
Organise the internal overview into four fields: project, customer request, missing information and next action. Check dates and the latest change against the original message. Then assign the task to a named person. For a short enquiry with an unambiguous subject, the existing task feature may cover everything; another text version removes no extra step.

2. Site voice notes need fixed fields
A voice note needs a project reference. Follow it with the date, work completed, materials, outstanding issues and next action. Keep observations separate from assumptions: “the valve is dripping” records a finding; “the valve needs replacing” already contains a decision. Rewriting must preserve that distinction.
For an existing audio file, Word for Microsoft 365 offers transcription, which converts speech into text. Microsoft says users can upload recordings, edit text and replay sections using timestamps; recordings are stored in OneDrive. This produces text first, with a reviewed project report still to follow.
Organise the transcript under those six fields. Mark missing details as OPEN. Before filing, check numbers, negatives and the project reference. Use your own factual note without customer names for the first comparison. If staff already enter the same information directly into a mobile form, compare that route with voice input rather than automatically introducing another application.
3. Quote drafts belong in the costing workflow
A quote draft needs the business’s existing reference data. On its features page, plancraft describes quote drafts based on notes, recordings, images, measurements or price lists. HERO now lists HERO Command as available and describes quotes based on business data.
If you already use either application, compare its integrated drafting feature with your existing process first. Well-written text can lose the overall comparison if someone still has to transfer its line items individually.
Keep this stage focused: are the project, scope and sources of the line items correct? Then follow the existing technical and commercial approval process. The detailed workflow and price checks are covered in AI quote drafting for trades.
4. Scheduling needs the current calendar
The scheduling board brings commitments and availability together. plancraft lists project allocation, staff availability and crew planning among its existing features. If the office can move a job and the team sees the same updated schedule, a workable process already exists.
An assistant can turn proposed changes in a message into a review checklist. Confirm a time only after checking the person, duration, travel, materials and customer agreement. A calendar without material availability can show an empty hour without establishing whether the job can actually go ahead.
Only the confirmed calendar entry counts in the comparison. A proposed time in a chat does not reschedule a visit. If the assistant has no current calendar data, use it just to draft the question that needs answering. Have a product demonstration show any additional scheduling capability in your actual workflow before paying for another service.
5. Completion reports need evidence and outstanding work
The completion report brings reviewed project records together. Use confirmed activities, material entries, photographs and outstanding work from the project file. A summary must never turn “inspection pending” into “inspected”. Keep outstanding work in a separate paragraph, even if that makes the report sound less complete.
For recording this information, plancraft advertises daily site reports, additional-work reports and standard or customised templates. Check whether that template already covers the job. Check the product status carefully before relying on voice input: HERO Report is still marked “Coming soon”. Do not plan this announced site-documentation feature into a workflow that needs to operate today. The comparison ends with the saved report, including its checked outstanding items. This worksheet gives both routes the same finish line
The worksheet records the entire process. Copy the following lines for a factual note of your own. The completed example describes a sample task, not an observation from a customer business. Give both routes the same source text and report template.
- Task: Transfer a site note for sample project B-24 into the daily report.
- Input: “B-24, today. Tap installed. Two connection hoses used. Leak test pending. Tomorrow: test before use.”
- Expected output: project B-24; work tap installation; materials two connection hoses; outstanding leak test; next action tomorrow, test before use. Add the specific dates for the note and for “tomorrow”.
- Route A: Enter in the existing app, review and save to the project file. Route B: Transcribe, structure, review, transfer and save there.
- Timing fields for both routes: input __; review __; correction __; transfer __; total __ minutes.
- Rejection criteria: wrong project, invented quantities, inspection shown as completed or outstanding task lost. Return any such draft for correction.
Review time and low usage can reverse the calculation
The total time decides the comparison. This worked example is entirely hypothetical: 60 similar tasks per month, currently taking six minutes each. The new route takes one minute for input, two for review and one for transfer, totalling four minutes. That frees up 120 minutes of working time per month.
At an assumed internal labour cost of €40 per hour, that time has a value of €80. An additional software fee, also assumed, of €30 leaves a calculated €50. These are modelling inputs, not vendor prices or measured savings. Freeing up working time also does not automatically reduce payroll.
- Negative case 1: Review and correction take six minutes instead of two. The new route takes eight minutes and adds two working hours across 60 tasks.
- Negative case 2: There are only twelve tasks. The two-minute difference produces 24 minutes, valued at €16. Against a €30 extra fee, the shortfall is €14.
- Formula: tasks × (previous minutes − new total minutes) ÷ 60 × internal hourly cost − additional monthly costs. Add one-off setup costs separately.
Start with one recurring handoff
Your business should start with a frequent, clearly bounded handoff. My recommendation is to use existing forms, templates and integrated AI features first. Consider a separate assistant when the current system lacks the required speech or text processing and transferring the result back stays brief. I would avoid another subscription for infrequent tasks that require extensive corrections.
Before starting, name the person who will review the result and the place it must be saved. This also lets you reject a fast draft when checking and transferring it take longer than the original process.
