Start with the capabilities you already have and three specific tasks. Buy add-on licences for people who demonstrably reach checked results faster. Account separately for annual commitments, base subscriptions and ongoing support.
Copilot costs start with the number of licensed users
Three carefully assigned licences can be enough to begin. A business with 15 employees does not have to budget for 15 add-on licences immediately. We would first compare one recurring task each in sales, office administration and project management. Someone who only occasionally rewrites a short text can start with the approved chat already available.
This worked example assumes suitable Microsoft 365 base licences are already in place. It examines additional Copilot spending rather than the entire IT bill. The roles and working times are planning assumptions. Microsoft supports assigning licences to individual users; headcount is therefore not a purchase recommendation.
What matters is the additional benefit over the current process, including existing AI capabilities. If an included chat handles the same task equally well, that task alone does not justify another licence. Our four-week plan for small businesses explains how to organise the comparison.
Three prices represent different commitments
A low monthly figure can commit you for a year. The German Microsoft pricing page lists Copilot Business at €15.60 per user per month equivalent on the promotional annual plan, with €18.20 shown as the regular price; a genuine monthly subscription costs €21.84. Prices exclude VAT, and the annual plans are billed yearly.
The promotion runs from 1 July to 31 December 2026 for existing customers with an eligible Business plan, applies only in year one and renews automatically. Trials are excluded. Microsoft may change the offer. Use the displayed regular rate for longer-term planning without treating it as a guaranteed future renewal price.
Three promotional licences total €561.60 for the first year. Three monthly licences cost €65.52 a month. Monthly payment does not always mean a monthly commitment: Microsoft’s enterprise offering lists €27.30 with monthly payments but still requires an annual subscription. Record contract length and payment frequency separately.
The base subscription remains a separate cost
The add-on does not replace a Microsoft 365 contract. Microsoft’s licensing guide lists Business Basic, Standard, Premium, Apps for Business and Teams Essentials as eligible foundations for Copilot Business. The underlying subscription still determines which applications a person can use.
Our calculation assumes that the required base licences are already paid for and remain unchanged. If a task requires upgrading that package, include the additional amount. Conversely, when an offer bundles a base subscription with Copilot, do not add the same base subscription twice.
Before ordering, put four entries next to one another: current plan, required plan, Copilot add-on and contract end date. Only that comparison establishes whether a replacement package costs more or less. Existing contractual costs do not disappear when a new order is placed. Give the included chat the same task first
Copilot Chat can already work with business material. It is included without an additional licence charge for eligible work accounts. The current feature overview describes supplied files and supported application context. Outlook can also draw on limited work content without a Copilot add-on; describing the included service as strictly web-only would be misleading.
The paid option adds broader reasoning across organisational content. A purchasing decision therefore needs a specific gap: must this person regularly combine authorised documents, meetings and messages, or is a pasted passage sufficient?
Give both approaches five comparable tasks using approved material. The reviewer checks completeness, correct figures and total working time through approval. Existing access permissions still apply to Copilot. Buying a licence does not tidy up folders that were already shared too widely.
Three roles provide a practical starting point
The task determines whether an add-on is worthwhile. This completed role list is a proposal for the fictional business. It includes the review requirement; none of these job titles justifies buying a licence by itself.
Sales: prepare a follow-up draft from approved quotation documents and conversation notes. The reviewer checks prices, commitments and unanswered questions. Office administration: prepare a recurring status report from specified documents. The reviewer checks missing cases and outdated information. Project management: turn decisions from authorised working documents into an action list. The reviewer confirms ownership and deadlines.
Apply the same purchase rule to every role: after review, the additional capability must save time over the included tool. The other twelve employees receive no extra licence initially. Three licences change the annual calculation
The comparison uses the displayed regular annual rate. All amounts below exclude VAT, base subscriptions, setup, support and any metered extras. Monthly figures represent accounting equivalents of a yearly payment. At €18.20 per licence, the calculation is:
Three users cost €2,620.80 less annually than fifteen. This is a calculated spending difference, not measured productivity improvement. If more employees later demonstrate better results on their own tasks, additional licences may be worthwhile. Expand the role list when that evidence exists.
For an initial bounded trial, we would choose a genuine monthly commitment where available and appropriate. Once the comparison is complete, assess the annual plan and promotion against the results. A lower headline annual rate is a poor comparison if the trial is abandoned.
- 3 licences × €18.20 = €54.60 monthly equivalent; €655.20 annually.
- 15 licences × €18.20 = €273.00 monthly equivalent; €3,276.00 annually.
- Difference: €218.40 monthly equivalent; €2,620.80 annually.
The example breaks even at just over a minute per task
Corrections and ongoing support belong in the calculation. Suppose three people complete 120 suitable tasks a month between them. Each task saves three minutes over the previous process, including review: six hours altogether. One additional hour maintaining instructions and supporting users leaves five hours.
At an assumed internal value of €40 an hour, that is €200. Subtract the €54.60 licence allocation and the calculated monthly benefit is €145.40. Four one-off setup hours add €160, putting the first full operating month at a calculated negative balance of €14.60. Freed working time is not automatically money in the bank.
The ongoing break-even point is (€54.60 for licences + €40 for support) ÷ €40 an hour = 2.365 hours. Across 120 tasks, that requires about 1.18 minutes saved per task. With fifteen licences and unchanged output, the monthly result instead becomes a calculated negative balance of €73. More licences only increase the return when they produce additional usable work. For the recommended monthly trial, €65.52 in licence costs raises the threshold to about 1.32 minutes per task.
Five fields make the purchase decision reviewable
The business records both its decision and renewal responsibility. Copy these fields for each proposed licence. The sample row uses the regular annual rate; for a monthly trial, replace the price with €21.84.
Do all 15 employees need the same setup? No, their tasks determine the choice. Is login activity enough to establish success? No, look for checked results and less overall effort. Can a discount replace that decision? No, it changes the price rather than the quality of the work.
