A service job is worth 558 euros on average and follows a pattern; a sales call does neither. So give the assistant its own service number instead of the switchboard.

Split the numbers, not the conversation

Putting AI in front of the switchboard is the wrong cut. For the 2026 DAT Report, German car owners were asked for the first time which parts of a workshop visit they could picture being handled digitally. Chart W21 has the answer: only for booking and follow-up could a quarter of respondents imagine it, and for every other step they want contact with staff.

The architecture follows from that. Give the assistant its own service number, leave the sales number with people, and nobody has to bet on a speech model reading the caller's intent correctly in the first two sentences. The split happens before the call, not inside it.

Service carries the business, trading swings

The revenue curves describe two different businesses. For 2025, the German motor trade association reports total revenue of 210.8 billion euros, down 3.65 percent from 218.8 billion. Passenger car service grew 0.8 percent to 36.6 billion euros in that same market.

Trading moved the other way: new passenger cars down 2.0 percent to 63.9 billion euros, franchised used car sales down 16.5 percent to 59.4 billion, independent used car dealers up 16.4 percent to 34.3 billion.

Translated to the phone: service calls are frequent, uniform and predictable, sales calls are rare, irregular and individually worth a great deal. Two call types with profiles that far apart do not belong behind one greeting.

An average workshop job is worth 558 euros

That figure comes straight out of the DAT data. In 2025 each passenger car saw 0.97 services at an average of 542 euros and 0.35 repairs at 604 euros. That works out at 737.14 euros of workshop revenue per vehicle per year, spread across 1.32 jobs, so 558.44 euros per job.

A year earlier it was 1.03 services at 527 euros plus 0.41 repairs at 610 euros, together 792.91 euros per vehicle. Revenue per vehicle therefore fell by 55.77 euros even though a single service got dearer: fewer jobs come through the door.

Scale that to your own base. With 800 vehicles looked after, that is 1,056 jobs a year, or roughly 4.2 per day across 250 working days. Every one of those jobs starts with at least one contact, and in most workshops that contact is still a phone call.

A sales call tolerates no machine

Buyers still want a person. Seven percent of new cars bought privately in 2025 went through an online or new car platform, level with the year before, and among used car buyers only a third could picture a fully digital purchase at all.

On the service side the picture reverses. Of franchised workshop customers, 52 percent see room for improvement, and of those, 50 percent name shorter waits for an appointment while 35 percent name getting hold of the workshop. Among customers of independent garages the same two figures are 49 and 34 percent.

Appointment availability and reachability are precisely where a phone assistant moves the needle. Faced with a test drive request for a used car, it is instead a hurdle in front of the one call that day ending in five figures.

Four numbers, four destinations

Here is the split a workshop can print out and pin next to the phone system. Carl lists its integrations for motor trade businesses as DMS, workshop planner, customer records and CRM, plus telephony, WhatsApp and online booking; which of those may actually write into your system is a question to settle before you sign, not after.

  • Service number, printed on invoices and reminders and shown in your Google business profile: assistant answers, books servicing, roadworthiness tests and tyre changes, logs a callback for anything else.
  • Sales number, used in listings and on vehicle pages: rings sales directly, moves to a second salesperson after 20 seconds, then voicemail promising a callback. No assistant.
  • Parts desk on its own extension: stays internal, because part numbers get spelled out here and one misheard letter ships the wrong box.
  • Breakdown and out-of-hours number: fixed announcement forwarding to the on-call mobile, no dialogue at all.

Setting the split up in one morning

The technical part is the smallest one. A second phone number costs 7 euros a month at fonio.ai, whose Solo plan with 1,000 minutes sits at 99 euros; both are vendor list prices. Inside the phone system, the split is built from groups plus routing.

  • Step 1: order the second number and set it up as the service number. The old main number becomes the sales number, because it already sits in listings and older adverts.
  • Step 2: draw the routing. sipgate documents three time profiles plus forwarding on busy and after a set waiting time with no answer, with any other number or voicemail as the destination.
  • Step 3: fill all three time profiles: opening hours, fringe hours, closed. During fringe hours the assistant may take sales calls too, but purely as a callback note.
  • Step 4: switch the sources. Invoice footer, appointment reminders and the Google business profile point at the service number; listings and vehicle pages point at the sales number.
  • Step 5: call every number in every time profile from an outside mobile and write down who picks up. This is the check most workshops skip.
  • Common failure: nested forwarding. sipgate states explicitly that forwarding to other users or groups also triggers their own rules, which drops the call somewhere mid-chain.

What I would do in your place

Yes to an assistant on the service number, once you run more than three workshop jobs a day and intake happens at the counter. No to an assistant on the sales number, at any size of business. No as well if you cannot or will not split the numbers: the assistant then sits in front of your most valuable calls, and the monthly saving stands against a vehicle you failed to sell.

At 7 euros a month, the second phone number is the cheapest piece of this project, while being the one piece that decides whether it works.

Common questions

Why not let the assistant simply ask up front whether it is service or sales? Technically possible, practically risky. Every misrouted call hits exactly the type where customers expect a person outside booking and follow-up, and the caller only notices the mistake a minute in.

What happens to a used car enquiry reaching the service number? The assistant takes the name, the vehicle from the listing and a callback time, then marks the entry as sales. No price, no appointment, no statement about availability.

Is this worth it for a two-ramp garage? With 400 vehicles looked after, that is 528 jobs a year, just over two per working day. It only carries an assistant if intake would otherwise be unstaffed. How to work out cost per transaction is covered in our piece on AI cost per transaction.

Look up how many inbound calls hit your main number last month, then spend one week writing an S or a V next to every call. If the service share tops 70 percent, order the second number that same week and switch the invoice footer first.
